How to Test AI Document Data Extraction Before You Buy

Most document extraction demonstrations use clean, familiar files. Real operations are less predictable. Documents arrive from different sources, layouts change, tables continue across pages and scans may be difficult to read. Before choosing a platform, test it on the documents your current process struggles with.
1. Build a representative document sample
Include the formats you receive in normal work, not only the easiest examples. Use PDFs, scans, invoices, statements and spreadsheets where relevant. Add different suppliers, multi-page tables, unusual labels and known problem files.
A small sample can be useful if it represents the real variation. The objective is to learn where the process works, where review remains and what happens when the layout is new.
2. Define the required output first
List the fields, line items and relationships the next process needs. Specify data types, required values and the target schema. If the result must enter an ERP or another application, confirm the expected JSON, CSV or API structure before testing.
This prevents a common mistake: accepting an impressive text extraction that does not produce data the business can use.
3. Test new and changing layouts
Include documents the vendor has not configured in advance. Ask whether a new supplier requires another template, labelled training set or custom model. Measure the time and specialist effort needed before a new layout can be processed.
For a template-free platform, the business should be able to define the required fields and schema without rebuilding extraction logic for each document design.
4. Check tables, line items and context
Header fields are usually the easiest part. Test the transaction detail that matters to the workflow. Check row and column relationships, credits, negative amounts, page breaks, repeated headers and wrapped descriptions.
Review whether the output keeps the correct meaning. A number is not useful if the system cannot distinguish an invoice total from a tax amount, payment, credit or outstanding balance.
5. Review validation and uncertainty
Ask how the platform handles missing fields, unclear scans, mathematical differences and low-confidence results. Good extraction does not hide uncertainty. It should make exceptions visible and provide enough source context for a person to review them.
6. Test the next step
Extraction is not the end of the process. Send the output into the receiving system or simulate the next workflow. Can the data be mapped cleanly? Does it reduce re-keying? Can it support matching, reconciliation or exception review? How much manual preparation remains?
